Invoice template for photographers
A photography invoice covers more than the shoot day. Editing time, licensing and travel all count, and spelling them out heads off the usual questions.
What to include on a photography invoice
- Your business name, address and contact email, plus your VAT or tax number if you have one
- Your client's name and address
- A unique invoice number and the issue date
- A due date, so "when do I pay?" has one answer
- The shoot date and location
- Shoot fee, by the day, half day or event
- Editing and retouching, and how many final images are included
- The usage licence: where the images can be used, and for how long
- Travel, studio hire and other expenses on their own lines
- Subtotal, any tax (rate and amount shown separately) and the total due, with the currency clear

Tips for photography invoices
- Separate the shoot fee from the licence. It makes later extra-use requests easy to price.
- Take a booking deposit: the invoice can show the deposit due now and the balance.
- Name the shoot in the reference field, for example "Spring lookbook".
Try it on your next invoice
There's nothing to download. Open the invoice creator, paste your notes or fill in the form, and check the result.
Questions
Should the image licence be on the invoice?
Yes, as a short line: where the images can be used and for how long. It records what the client bought, alongside your contract.
How do I handle a booking deposit?
Set a deposit percentage on the invoice. Your client sees the deposit due now and the balance, and you can record each payment as it arrives.
Can I reuse the same lines for each client?
Yes. TheInvoiceAI remembers the items you bill each client and offers them as one-tap suggestions on the next invoice.
How do my clients pay me?
They pay you directly, using the payment details on your invoice. Pay links from your own Stripe account are coming soon. TheInvoiceAI is invoicing software, not a payment service: we never hold, process or transmit your money, and we take no fee.
