Terms of service

Last updated 21 October 2026

1. About these terms

These terms apply to TheInvoiceAI (theinvoiceai.com, "the service"), provided by SmartFing Ltd, a company registered in the United Kingdom ("we", "us"). By creating an account or using the service you agree to them. TheInvoiceAI is for business use: freelancers, sole traders and small companies. You must be at least 18 and, if you use it for a company, allowed to accept these terms for it.

2. Your account

  • You sign in with an emailed link or with Google. Keep access to your email account secure: anyone who can read it can sign in.
  • You can try the app as a guest without an email address. Guest accounts can draft invoices but can't send them, and are deleted after 30 days unless you save your work with an email address.
  • You're responsible for what happens in your account and for keeping your business details accurate.

3. Your invoices and your responsibility

TheInvoiceAI helps you prepare and send invoices, estimates and reminders. You are responsible for their content: amounts, tax rates, VAT wording, payment terms and whether you are entitled to charge your clients. AI drafts, VAT notes and suggestions are aids to help you, not tax, legal or accounting advice. Please check every document before you send it. Automatic reminders and recurring invoices are only sent when you switch them on.

4. Acceptable use

Don't use the service to:

  • send fraudulent, misleading or fake invoices, or invoices for goods or services you didn't provide;
  • send spam, or email people who haven't done business with you;
  • break the law, infringe others' rights, or upload malware;
  • overload, probe or get around the limits and security of the service, or resell it without our agreement.

We may suspend accounts that break these rules, especially where clients or email deliverability are put at risk.

5. Getting paid by your clients (Stripe)

Online payments from your clients go through Stripe, to a Stripe account in your name (Stripe Connect). Your use of Stripe is governed by the Stripe Connected Account Agreement, which includes the Stripe Terms of Service. We don't take a fee on these payments today and never hold your money. Refunds and disputes with your clients are between you and your client, handled in your Stripe account.

6. Plans, billing and cancellation (Paddle)

  • Free plan: free of charge, with limits (10 sent invoices a month, 5 clients, 20 AI actions a month). We may change Free limits with notice.
  • Pro plan: $9/month, billed monthly in advance until you cancel. It includes unlimited clients and invoices, automatic reminders, recurring invoices and 500 AI actions a month (fair use).
  • Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns. Paddle's buyer terms apply to your purchase. Prices may include or have added VAT or sales tax depending on where you are.
  • You can cancel at any time from Billing in the app. Pro stays on until the end of the period you've paid for, then your account moves to the Free plan. Your data is kept.
  • Refunds: see our Refund policy.
  • We'll give at least 30 days' notice of any price change, and it applies from your next billing period.

7. Your content

You own your data and documents. You give us permission to store, process and send them only to provide the service to you (including passing content to our AI and email providers as described in our Privacy policy). We don't use your content to train AI models.

8. Our service

We own TheInvoiceAI, its software and brand. We work to keep the service available and secure, but it is provided "as is", and features may change. Email delivery depends on recipients' mail servers, so we can't guarantee that every email is delivered or read. We'll tell you in advance about changes that significantly reduce what your paid plan includes.

9. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or anything else that can't be limited by law. Otherwise, we aren't liable for indirect or consequential loss, or for loss of profit, revenue or data, and our total liability in any 12 months is limited to the greater of the amount you paid us in that period and £100. We aren't responsible for the content of documents you send or for whether your clients pay you.

10. Ending the service

You can stop using the service and ask us to delete your account at any time (support@theinvoiceai.com). We may suspend or close accounts that seriously or repeatedly break these terms. If we ever close the service, we'll give at least 30 days' notice so you can download your invoices, and refund any unused prepaid period.

11. Changes to these terms

We may update these terms. For changes that matter we'll tell you by email or in the app at least 30 days before they apply. If you don't agree, you can cancel before then.

12. Law and contact

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction, unless the law where you are gives you the right to bring a claim locally. Questions: support@theinvoiceai.com.
